Purpose
This privacy policy applies to TourTracks Pty Limited (ABN 92 601 594 021) “TourTracks” and its related entities. This policy explains how TourTracks collects, stores, uses and discloses personal information in accordance with the Privacy Act 1988 (Cth) “Privacy Act” and where we obtain Personal Information from a citizen of a member state of the European Union, the European Union General Data Protection Regulation (the EU GDPR).
Personal information we collect
Personal information is information that may identify you or by which your identity may be reasonable determined. The type of information we collect includes (but is not limited to):
- Names, address, telephone number, email and other contact details
- Billing information such as credit card numbers and billing address
In certain circumstances it may be necessary to collect sensitive information about you that you consent to provide, in order to provide specific services or for recruiting purposes.
Because of the nature of the services we perform it is generally impractical to remain anonymous or use a pseudonym when dealing with TourTracks except in limited circumstances.
How we collect personal information
In most cases we collect personal information directly from you, in conversations in person and over the phone, via documents you send to us, via our website and from mail and electronic communications with you.
Sometimes it may be necessary for us to collect personal information via a third-party including employers, referees or publicly available information.

You agree that TourTracks can access, aggregate and use non personally identifiable data collected from you for the purposes of providing industry statistical data that may be used, copied, distributed or disclosed for any purpose.
Information we collect from your usage of TourTracks
Log files
Similar to most websites and services delivered over the Internet, we gather certain information and store it in log files when you interact with our websites and services.
This information includes IP address, browser type, operating system, and the date and time of each interaction. Some URLs you access may contain your email address as necessary to perform the requested operations, and therefore your email address would be stored in the log file.
Usage data & Analytics
We collect usage data as you interact with our services. This data helps us get a better understanding of how you’re using our websites and platforms so that we can continue to provide the best experience possible. The purposes for which we collect, hold, use and disclose personal information
The personal information we manage is used to provide our services to you, for administrative purposes including processing payment transactions, to meet regulatory requirements, for recruitment purposes and other business-related purposes.
TourTracks uses a range of service providers in order to provide an efficient, effective and secure service. In the provision of our services personal information may be disclosed to the following parties:
- Related TourTracks entities
- Government or regulatory bodies and agencies
- Professional associations
- Any person acting on your behalf such as solicitor, tax agent, management company and financial advisor
- Our agents, contractors and external service providers including travel service providers, IT providers and debt collecting services
We require our service providers to comply with our privacy guidelines and to ensure personal information is not used for any unauthorised purpose.
Personal information may be available to partners and authorised staff of TourTracks to use in accordance with this policy. We require our employees and partners to respect the confidentiality of any personal information we hold.

How we hold your personal information
TourTracks holds personal information in both hard copy and electronic formats. We take reasonable steps to protect the personal information that we hold including the use of technology to restrict electronic access to documents, firewalls, virus scanning software, encryption, passwords and digital certificates.
With respect to some of the personal information we hold, TourTracks also engages third parties to host the storage of electronic data.

We may from time to time provide links to other websites. We make no warranties or representations as to the quality, currency and accuracy of information on any other site which we provide a link to. We encourage you to review each websites privacy policy, especially if you intend to disclose any personal information via that website.
Accessing and amending your personal information
If you have submitted details about yourself to us, you are entitled to access the information which is subsequently handled by us. In some circumstances we may be unable to comply with the request due to legal restrictions. We will advise you of such circumstances if they arise.
If you would like access to your personal information, please email info@tourtracks.co outlining the information you require. We will need to verify your identity to deal with your request and we will endeavour to respond to your request within a reasonable timeframe.
We encourage you to contact us to update any of your details or to correct any inaccuracies which may have been inadvertently recorded by us.
Use of your information outside Australia
We may store, process or back-up your personal information on servers that are located overseas including through third party providers.
In some circumstances TourTracks also uses third party providers to carry out our functions and provide services. These service providers are located in The Philippines.

We apply the general principles of GDPR to all Personal Information obtained from a citizen of a member state of the European. In these situations, you have certain rights as to how your personal information is obtained and used and TourTracks is committed to complying with your rights under the GDPR.
Except as otherwise provided in the GDPR, you have the following rights:

- Access your personal information;
- To correct your personal information if it is inaccurate or incomplete;
- To delete your personal information including the “right to be forgotten”;
- Right to restriction of processing of personal information
- Your data being portable and accessible upon request;
- To object to the processing of your personal information; and
- To object against automated decision making and profiling.
